Notice and Access
Notice and Access provisions came into effect in 2013. These rules give issuers the opportunity to mail a single notice with their proxy that outlines their meeting details and provides information on how to access the proxy materials online.
We encourage our clients to use Notice and Access, where applicable, as it can reduce the cost of printing/postage fees and overall environmental impact.
Our services to assist issuers in complying with these provisions:
- Creating a “Notice and Access” notice that will be mailed with your proxy
- Web hosting your full set of proxy materials
- Fulfillment services, including a 1-800 number security holders can call to request hard copies of your proxy materials
- Maintaining a list of registered holders that have declined to receive materials by Notice and Access

What is the benefit to registering for Online Tools?
Security holders will have access to view their registered holdings, report a lost or stolen securities certificate, request a DRS statement, add or change your email address and email preferences and more any time, 7 days a week. Clients will have access to their registered securityholder register(s) and various reporting on demand any time.
How can i register for Online Tools?
Please contact us at trustservices@vencelimited.com to obtain your user ID required to register for online services. Registered security holders must provide the name in which their securities are registered, their full mailing address, phone number and email address and a security check will be performed.
